Privacy Policy of Alasso by ArtKey Media

Scope
This privacy policy applies to the internet platform Alasso for Alumni organisations, professional associations, political partis or charity organisations (hereafter called “the organisation”). With Alasso, ArtKey Media AG provides a comprehensive community solution that offers the association and its members a convenient way to manage their organization in a professional manner. In addition, data can also be made available to external persons. The data is stored on ArtKey Media’s own servers in Switzerland.
When using Alasso, some personal data is collected. But your personal information is very important to us. Not only do we treat it with the utmost confidentiality, but we also take your right of information very seriously. The EU General Data Protection Regulation (GDPR) provides in this regard Art. 13 GDPR, which we hereby comply with.

Personal data
When you use our Alasso service, the following personal information of users will be processed:

  • Content visited on the platform
  • All data fields available on the platform (e.g.: first name, last name, date of birth, date of death, e-mail addresses, etc.)
  • Personal data stored on profiles (imports of graduate data)
  • Direct messaging messages between the user and his contacts
  • Payment history
  • Bookings and use of services, such as they have been opened by the organization or on behalf of the organization by the provider (newsletter subscriptions, products, magazines, etc.)
  • Participation at events
  • Clicks on event publications (click behaviour)
  • Contact informations as provided by the user or imported by the client (e.g. addresses, telephone numbers and e-mail addresses)
  • Memberships and group affiliations
  • ETH education and education of third party institutions as provided
  • Online status of members
  • Remarks and tags which are stored on the user profiles and are necessary for the administration of the memberships (clients are responsible for these data)
  • Functions of persons in their associations (e.g. presidents, treasurers, etc.)
  • Documents stored in the doc share section
  • Images on user profiles and gallery images
  • Any information that is entered by the organization into the provided data fields (e.g. remarks, tags, etc.)

Processing activities
Alasso allows users to interact with the organization in all functions forseen by the application. The following personal data is transmitted in the process:

  • Login and logout time (date, time)
  • IP address
  • Internet service provider
  • Operating system and browser versions
  • Log information for maintenance and platform improvement

ArtKey Media AG reserves the right to adjust the content options at any time. The client is responsible for the content stored and provided to users.

Processing purpose
The purpose of personal data being processed is to provide a service for the management of the organization.

Legal basis
The most recent version of the Swiss Data Protection Act applies.

Recipients and storage of personal data
The temporary storage of data and log files is lawful pursuant to Article 6 (1) lit. f General Data Protection Regulation.
The IP address is temporarily stored in the system as it is necessary to provide website access to the user’s computer.
These log files (see above) are stored to ensure the functionality of the website, to optimise the content of our website and to ensure the security of our IT system.
The information is deleted when it is no longer needed for the purpose for which it was collected. Information collected to enable access to the website is deleted at the end of each session. Log files will be deleted after seven days at the latest. Some other data may be retained for a longer period.
Your information will not be shared with third parties.

Your Rights
You have the following rights:

  • the right to be informed about the personal data held about you (Article 15 GDPR)
  • the right to rectification of any inaccurate or incomplete personal information (Article 16 GDPR)
  • the “right to be forgotten”: erasure of stored personal data insofar as the relevant data are not necessary for the exercise of the right of freedom of expression and information, for compliance with a legal obligation, for reasons of public interest, or the purposes of establishing, exercising, or defending a legal claim (Article 17 GDPR)
  • the right to restrict the processing of personal data (Article 18 GDPR)
  • the right to object to the processing of your data for our legitimate interests, for reasons of public interest, or for profiling purposes unless we can demonstrate compelling grounds for processing the data that outweighs your interests, rights, and freedoms or where the processing of the data is necessary for the establishment, exercise, or defense of a legal claim (Article 21, GDPR);
  • the right to withdraw your consent to the collection, processing and use of your personal data at any time with future effect (Article 7 paragraph 3 GDPR) – this means that the data processing related to that consent will no longer be carried out;
  • the right to lodge a complaint with a supervisory authority if you believe the processing of personal data relating to you is in breach.

Use of Cookies
Alasso is using cookies. Cookies are small data files that are created and stored on your computer’s hard drive by your internet browser. Accessing a website may result in a cookie being stored on your operating system. This cookie contains a unique string of characters that allows the browser to be uniquely recognised each time the website is accessed.
We use cookies to make Alasso more user-friendly.
The processing of personal data based on the use of cookies is lawful pursuant under Article 6 paragraph 1 lit. f GDPR (General Data Protection Regulation).
The purpose of these technical cookies is to facilitate the use of Alasso.
Cookies are stored on the user’s computer and transferred to us. Therefore, as a user, you have full control over the implementation of cookies. You can deactivate or restrict cookies by changing your browser settings. Cookies already stored on your hard drive can be deleted at any time. This can also be done automatically. However, disabling cookies for our website may result in some features not working properly.
